AI for NDIS providers, from someone who has run one

Ten years running NDIS businesses. Years consulting on quality and compliance. Now we build AI that fits inside the Practice Standards, not around them.

We know your world because we have lived it

We know what it costs to keep a provider compliant, because we have written the policies, sat the audits and rostered the shifts. The NDIA's own Disability Support Worker Cost Model leaves providers operating on margins of a few per cent. At those margins, admin is not an annoyance. It is the difference between viable and not.

That is why we are so passionate about this work. When AI does the heavy lifting on notes, reports, agreements and communications, the hours and the money go back where they belong: to participants.

We are based in Newcastle and work with providers across the Hunter and Australia-wide, on site and remote.

The two risks you are already carrying

1

Admin is eating your margin

Progress notes, incident reports, service agreements, funding letters, audit prep. Every hour your team spends writing is an hour not spent supporting participants or billing support. On NDIS margins, that maths is brutal.

2

Shadow AI is already in the building

Somewhere in your organisation, a tired support worker is pasting participant details into free ChatGPT to finish their notes. No guardrails, no privacy settings, no policy. The question is not whether AI enters your organisation. It is whether it enters safely.

What we build for providers

A complete workspace built on Claude, the business-grade AI assistant made by Anthropic, shaped around your organisation, the way we built it for Live Your Best Life:

  • A dedicated project for each role: incident reporting, communications, quality and compliance, SIL, HR, coordination
  • Your policies, procedures and templates loaded as knowledge, so answers come out in your voice and your format
  • Custom skills for the documents you produce every week: notes, reports, letters, agreements
  • Organisation-wide guardrails: what never goes into AI, participant privacy rules, human review steps
  • Role playbooks and whole-team training, built for staff with zero AI experience
How implementation works

Nine role projects, including

Incident reporting Quality & compliance Communications SIL operations Staff & HR + four more

Each one loaded with LYBL's own policies, templates and guardrails, so staff open their project and it already speaks LYBL.

We automate the whole machine, not just the writing

AI drafting is one lever. The bigger one is the machinery around it. In every engagement we evaluate all of your systems, map what can be automated, and connect the apps you already use, so information stops being retyped between screens.

  • A full systems evaluation: rostering, care management, finance, HR, comms, spreadsheets and the gaps between them
  • An automation map: which handoffs can run themselves, which need a human, which should not exist at all
  • Connections into the tools you already run: care platforms like ShiftCare, Lumary, Brevity and Splose, plus Xero, Microsoft 365 and Google Workspace
  • And when the connector does not exist, we write the code that does. Custom automation is part of the toolkit, not an upsell.

A real example, from our own operations

An NDIS participant submits an order form. From that single submission, the system automatically creates the sales order, generates the invoice in the exact assistive-technology line format plan managers require, and routes it to the right payer for their funding type. No retyping, no missed invoices, no format rejections.

Order form Sales order Compliant invoice Right payer

We run this pipeline in our own retail business for NDIS orders. We sell what we use.

Compliance is our first language

Storm has worked as an NDIS consultant for years, on top of a decade running providers. We do not read about the frameworks. We have implemented them, been audited against them, and written the policies that passed. That depth is built into every AI and automation decision we make.

The frameworks, from the inside

The NDIS Act, the Practice Standards and their core modules, the Code of Conduct, incident management and reportable incidents, complaints handling, worker screening, audit cycles for verification and certification. This is the terrain we navigate daily, and your AI setup is built to produce the evidence these frameworks demand.

The Commission's standard, applied everywhere

The Commission has published its expectations for AI use in behaviour support plans: de-identification, participant personal information kept out of AI tools, and alignment with Australia's AI Ethics Principles. We hold every implementation to that same standard, not just the document types where it is technically required, plus a named human accountable for every output.

A culture of compliance, not a scramble

The sector changes constantly: new rules, new pricing arrangements, new reporting expectations. We build systems that absorb change, and through the Partnership we translate each change into your setup, your policies and your team's daily practice.

No magic claims

We will never promise a guaranteed audit outcome or quote an invented percentage. Anyone who guarantees compliance results has not sat through many audits. What we build is work you can stand behind in front of an auditor.

Case study

Live Your Best Life: thirty hours a day, back from admin

A NSW disability support provider whose whole team now works on Claude: nine role-specific projects, forty-two custom skills, their own policies loaded, everyone trained in a day.

10staff saving admin time daily
~30 hrsback every working day, team-wide

As reported by LYBL, not invented by us. Formal measurement is under way, and the full arithmetic is shown in the story.

"The way Storm helped us set it up as a business means it is idiot-proof, which is exactly what I need. Our overheads are reduced by 35%, and the team is so much more productive, doing things they actually like doing."
Kahlia, General Manager, LYBL Disability Support Services

AI training for provider teams

What providers ask us first

Is this allowed under the Practice Standards?

Yes, when it is set up properly. There is no rule against using AI in your operations. The obligations sit around privacy, consent, accuracy and accountability. Our implementations are designed around those obligations from day one, and every output keeps a human responsible for the final document.

What about participant data?

Participant personal information does not go into AI tools in our setups. We build de-identification into the workflows, configure business-grade tools where data is not used for training, and write the internal policy so the rules survive staff turnover.

Our staff are not tech people. Will this work?

Our training assumes zero technical background and some healthy scepticism. Because each role gets its own ready-made project, staff never face a blank chatbot. The feedback we hear most is relief.

Our care platform already has AI features. Why would we need you?

Use them, they are good at what they do. But a note-writing button inside one system is not an AI-safe organisation. It does not cover the other documents your team writes every week, the privacy guardrails and AI policy the Commission expects, staff training, or the handoffs between your systems. We build that whole layer, and we are vendor-neutral: whatever platform you run, we make it work harder.

What does it cost?

Fixed-scope engagements priced like the consulting work you already buy, agreed before we start. On the first call we will tell you honestly whether the payback is there for your size.
